The Enforcement Services Department determines whether passing truck drivers comply with the charging toll collection law. Automated Vehicle Identification will identify toll violators and Enforcement Services provides the data to the Belgian Government. Enforcement services set up a wide network of mobile and fixed toll control equipment.

The team assistant will work for the Enforcement department and for the Procurement and Supplier department.

Your tasks

  • Support the Head of Department in creation of presentations, reports, communication and other administrative tasks
  • Take meeting minutes during key meetings
  • Support the team in various administrative tasks (e.g. expense notes, procurement requests, document management, planning, etc.
  • Manage process documentation & procedures, internally and towards the Client
  • Organize events
  • Support the PSCM department administratively
  • Processing of Procurement Requests according to checklist. (e.g. checking offer available and attached, correct budget data used). Further solve user related questions and issues
  • Processing of Purchase Orders according to checklist. Sending out PO’s to Suppliers and archive. Follow up on deliveries
  • Invoicing: solve minor administrative problems.
  • Supplier database: creating and maintaining of Supplier data (contact data, documents regarding litigations)
  • Contract database: archiving of contracts and input of parameters e.g. start and end dates, renewal periods, time to RFQ, uploading of scanned original docs)
  • Archiving in general.

Your profile

  • Fluent in Dutch and French, very good level of English (spoken and written)
  • Proven experience in administration
  • Strong sense of ownership
  • Discrete
  • Get the job done-mentality
  • Accurate, organized, punctual and stress resistant
  • Very good knowledge of Word, Excel and Powerpoint
  • Good communication skills
  • Interested in working in a technical environment
  • Assertive
